Feb. 8th, 2013 08:50 amOur admin staff is required to scan all incoming mail and email it to our staff with the case name and a short description in the subject tline.
The "bad" secretary inexplicably puts the mail in the document feeder of the scanner/fax/copier (a large free-standing production machine, not a table-top item) and makes a copy. Then she puts the copy into the (same) document feeder and emails it to herself. She then forwards the email with the attachment to the recipient with a subject that says "U got mail"

Date: 2013-02-08 02:25 pm (UTC)My workgroup of 8 government attorneys does not have a secretary. We used to have one, but after he left, the finance folks decided we didn't need a secretary anymore. So when somebody asks me if she can have a copy of a big file, I get to make the copy myself. And there are a bunch of things that we attorneys just don't know how to do, like how do we mail something? So when I'm asked to mail somebody a copy of something, I'm lost. I don't even know how to procure an envelope.
Personally I think we could deal with one fewer attorney, and one more secretary, than our current staffing model. But I'm not in charge of these things.

Date: 2013-02-08 02:31 pm (UTC)It blows my mind. One slightly underworked admin person would save a fortune compared to our salary. In a group of 10 by not having an admin person, you're essentially paying for 1 admin position at the GS-14 to 15 rate (or more). So you kinda nailed it - me, I fuss. Nobody listens...
